Module Number: PM307 Aim/Overview Statement The purpose of this module is to provide coaches with tools and systems to understand and demonstrate effective planning of resources and their management of finances and information. Learning Outcomes: The coach will be able to: Understand and demonstrate an ability to manage financial matters as it pertains to athletes/teams needs. Manage resources and information needed for an effective team environment. Delivery Notes NSOs need to define how this module will be delivered to coaches and who can facilitate delivery. Learning Activities See Appendix 2 for some sample learning activities. NSOs can adapt these to suit their sport or create learning activities that ensure all learning outcomes listed above are met. Appendix 1 - Module Delivery Notes Purpose These notes provide further guidance for NSOs to complete the Delivery Notes section of the module outline. Overview SPARCs coaching philosophy is to develop coaches to be athlete-centred within coaching practice. At the outset, it is important to understand that the key to the athlete-centred approach is a leadership style that caters to athletes needs and understandings where athletes are enabled to learn, become aware and have control of their participation in sport. Background and Nature of this Module The learning opportunities provided for coaches should match the athlete centred philosophy mentioned above. For this module, the emphasis should be on how coaches use financial, resource and information management for the benefit of their athletes. As approaches to coach learning for all coaching communities are similar for this module, the module outline applies to all coaching communities and only minimal differences occur in the learning activities. These differences are highlighted in bold, italicised and underlined. However, it is important to realise that the nature and content of discussions and tasks associated with learning activities, and the way coaches apply their learning, will differ significantly depending on the needs of the athletes they are working with. The SPARC resources are written for all coaching communities and therefore facilitators and coaches need to apply the information relevant to the coaching community in which they coach. Ideas for Coach Learning of this Module For coaches to successfully complete this module, each coach needs to complete learning activities that cover both learning outcomes for their coaching community. The following notes are grouped by learning outcome, but delivery approaches are likely to integrate learning from different outcomes (see sample learning activities in Appendix 2). Some learning activities require help from a critical friend (or mentor). Some are self-learned or peer-learned, and need to be applied in the planning of the relevant team that is being coached. (Note: The Early Childhood coaching community is covered through SPARCs active movement programme and the High Performance coaching community through the NZ Academy of Sport network) Learning outcome 1 Budgeting and Sponsorship The coach will be able to understand and demonstrate an ability to manage financial matters as it pertains to their athletes/teams needs. Learning Activity A and C cover this learning outcome on their own. Learning Activity A is divided into two parts; Part 1 is to be used for All Coaching Communities and Part 2 for Late Teenage and Social/Competitive Adult Coaching Communities. First, coaches will need to gain knowledge of financial matters to run a team. Once they gain the knowledge, coaches will need to gain the skills. In Learning Activity A Part 1, they make a financial plan for their sessions/seasons. In Part 2, for those coaches who seek sponsorship, the learning activity provides coaches with the opportunity to create a sponsorship plan and implement it as needed (after feedback from a critical friend). Learning Activity C is a step-by-step guide to learn how to apply for community grant funding. For this learning outcome, coaches can gain knowledge through: Brainstorming ideas with a group of coaches and selecting information relevant to their athletes. Reading resources supplied or other resources Discussions with critical friends Utilisation of internet resources To apply the knowledge and understandings (gain the skills), coaches will need to utilise their budgets and/or sponsorship plans for the benefit of their own athletes. Learning outcome 2 - Managing Information The coach will be able to manage resources and information needed for an effective team environment. Learning Activity B covers this learning outcome on its own for All Coaching Communities. First, coaches will need to gain knowledge of information management by reading the resource. Once they gain the knowledge, coaches will need to gain the skills and in Learning Activity B answer questions to explain that knowledge and create information plan templates (after feedback from a critical friend). For this learning outcome, coaches can gain knowledge through: Brainstorming ideas with a group of coaches and selecting information relevant to their athletes. Reading resources supplied or other resources Discussions with critical friends Utilisation of internet resources To apply the knowledge and understandings (gain the skills), coaches will need to use the information templates with their own athletes. Appendix 2 - Sample Learning Activities These learning activities illustrate possible ideas for helping coaches to meet the learning outcomes of this module. Activities should be modified to meet the needs of the particular sport or group of coaches. All activities should ensure coaches learn about an athlete-centred approach through coaching practice. Coaches have different learning preferences and activities should reflect the various learning styles. Learning activities can be individual, small group or whole group activities. Some could be adapted for a self directed learning approach. Some activities could be applied in coaching practice, demonstrated within a training environment or provided within a workshop. If delivered in a workshop or seminar situation, the learning activities should be embedded in a practical context. If the module is delivered concurrently to groups of coaches who are coaching in different coaching communities, the delivery should cater for coaches using small group work or resources that relate to the participants preferred coaching community. If individual coaches coach more than one community, they should be given access to the relevant resources. Delivery and assessment (if relevant) should cover all learning outcomes within the context of the relevant community of the coaches. Learning Activity A: Individual Research Covers Learning Outcome 1 Part 1, For All Coaching Communities Part 2, For Late Teenage, and Social/Competitive Adult Coaching Communities Part 1 is designed to help coaches understand the basic principles of financial management, and Part 2 is designed to help coaches manage sponsorship and sponsor relations. Part 1: Financial Management Budgeting is a very important and necessary task for the management of a teams finances. It is important for coaches to understand what monies have to be collected, how money will be spent throughout the season and how much money is needed for the season. Coaches complete Tasks One to Three after reading the Financial Management and Funding and Managing Money resources and then writing notes in a journal or diary to enhance their learning experiences. Task One: Coaches write in their journal the answer to the following questions based on their reading: Describe or define budgeting. What does budgeting entail? List the steps required to develop a budget. What are the benefits of having a budget? Task Two: Coaches, in their journals, attend to the following relevant to their team situation: Create a list of all possible financial activity (such as money coming in (subs) and money going out (equipment purchases)) for your teams season budget. Write down everything you need to collect money for (money coming in) and everything you need to spend money on (money going out). Create your list in priority order. Analyse your list to see if your income (monies collected) matches/surpasses your expenses (money that needs to be spent)? Identify additional ways to get more money for your team if needed. Prepare a budget for a training camp or an end of season trip or activity (pick one or the other), and then integrate it into your teams season budget. Task Three: Coaches in their journals, reflect on the teams budget they created and identify how they will monitor and control this budget as the season progresses. What are some of the options to consider to control the monies? Part 2: Individual Sponsorship Research (For Late Teenage, and Social/Competitive Adult Coaching Communities) Before completing Part 2 coaches must read Funding and Sponsorship and Six Steps to Successful Sponsorship resources. Part 2 consists of three tasks. Coaches answer the questions in Task 1 in their coaching journal. Coaches then use the information gained in Task 1 to complete Tasks 2 and 3. Task One: Coaches, write in their journal the answer to questions based on the resources: How is sponsorship defined? Why do businesses (or other groups) sponsor sport? That is, what do they want from the association with sport? Why is researching the source from whom you are seeking sponsorship important? How can you find out the criteria businesses (or other sponsors) use to determine a sponsorship fit? List the steps to writing a sponsorship proposal. That is, how do you write a sponsorship proposal? How will you know if the sponsorship relationship was a success? That is, how do you measure if the sponsorship was mutually beneficial? Task Two: Sponsorship Plan Now that coaches have researched what sponsorship is all about and how to prepare a sponsorship proposal, it is time create one for their team. The tasks are to (coaches should use their journal to create and write the plan): Identify businesses that might be interested, and would be a good fit, to sponsor your team. List these possibilities in your journal. Research the businesses identified by reading their annual reports or looking at their web sites to ensure that they would be a good fit. Use the steps identified in Task One above and write an outline for a sponsorship proposal. Develop the contents for each step included in your outline. Review and read out loud what you have created. Task Three: Feedback/Approval Once Task Two has been completed, coaches seek feedback and approval from a critical friend, a club, or a National Sporting Organisation. Make corrections if required and if sponsorship is needed, send the application off! Learning Activity B: Situation Analysis and Critical Friend Discussion Covers Learning Outcome 2 For All Coaching Communities There are several pieces of information and data that coaches will need to collect and store concerning their team and the athletes involved. For Task One, coaches need to use their team to respond to the situations. Then in Task Two, coaches organise the information from Task One in a manner that would be useful and applicable to the management of their teams programme. Finally in Task Three, coaches discuss this information with a critical friend to gain feedback. If changes are required based on this feedback, coaches should make those changes accordingly. Before completing this learning activity coaches must read the Information Management PowerPoint and The Sports Team Manager resources. Task One: Coaches use their coaching journals and based on the reading: List the information that they need to collect and keep on file in regards to their team (for example information on athletes, guardians, support staff, stakeholders) over the season. For each set of information, identify the best method to store it so it will be easily accessible. List how will this information be collected. Once it is collected, what will you do with it? How will you use it? For three (3) pieces of information, design templates to collect the information. Task Two: Coaches then: Collect the information needed for the season by completing the templates that were designed in Task One for each set of information (also identified in Task One). Store the information in a manner where it is easily accessible and available when needed. Task Three: For this task, coaches need to discuss the information compiled in Tasks One and Two with a critical friend. With that critical friend: Identify and explain the information management processes that you developed for your team environment to effectively and efficiently manage your team information. Ask for feedback from the critical friend. Take the feedback on board and make changes to your notes and plans as you feel necessary.
